Manage Visi subtypes on a project

How to control which Visi subtypes are available on a project, assign them to templates and Visis, set issue approval workflows, and filter and report by subtype. For Project Admins and project teams.

Subtypes are created at the company level by Company Admins. On a project you control which subtypes are available and how they are used, but you cannot create new ones here. See How to set up custom Visi subtypes as a Company Admin to create or manage subtypes.


Control which subtypes are available on your project

All subtypes created at the company level are automatically available on each project. To find the subtypes, go to Project Setup and open the Visi types section, then choose a core type (for example, Inspections). You'll see every subtype available on the project across two tabs: Enabled and Disabled.

To disable one of your own company's subtypes on this project, select the ... menu next to it and choose Disable on project. It will stop appearing as an option when your team creates Visis. To switch it back on, open the Disabled tab and re-enable it.

Partner companies on shared projects

The Enabled list includes platform subtypes from Visibuild, your own company's subtypes, and a separate Other companies types group for subtypes belonging to partner companies on the project. Use the Source filter to narrow the list to a particular company, which is handy on projects with several companies.

You cannot block or disable another company's subtypes on your project.

If a partner's subtypes are creating confusion or clutter, the right path is a direct conversation with that company. Ask them to review which subtypes they keep active in their company setup, or to disable the relevant ones on the project themselves. You can disable your own company's subtypes on a project, but not another company's.


Assign a subtype to a template

Setting a subtype on a template means every Visi created from it is categorised automatically. This is ideal where the subtype is always the same - an ITC template should always carry the ITC subtype, for example.

  • When you create a template: choose the core Type (for example, Inspection), then select the subtype in the [Type] field (for example, Inspection type), and give the template a name.

  • On an existing template: open it in the template builder and set or change the subtype in the Details panel on the right.

  • On individual items: in the builder, use Add type on a task or inspection to categorise that item. Hold and witness points are separate attributes, so an item can carry both a subtype and a hold or witness point.


Select subtypes when creating Visis

When creating a Visi in a project, you can select from your available subtypes. This narrows the list of templates to choose from to those assigned to that subtype. You can also assign a subtype when creating ad hoc Visis without a template.


Set approval workflows for issue subtypes

You can set a pre-configured approval workflow against any issue subtype, so every issue raised with that subtype is automatically routed to the right reviewers.

Go to Project Setup > Issues and select New approval workflow. Choose the issue subtype (for example, Observation or Corrective action), then add one or more reviewers in sequence using Add review step. Each issue subtype has a single approval workflow.

This now works for any issue subtype, not just Incomplete works and Incorrect works.


Filter, export and report by subtype

Once subtypes are in use, filter your project data by subtype using the Visi type filter on the location page and the dashboard. The filter is grouped by core type, so you can expand a type (for example, Inspection) and tick the subtypes you want - including No type for Visis with no subtype assigned.

Your selected filters carry across as you move through the location tree and into the dashboard.

Subtypes are included in CSV and PDF exports, so you can report on categorised work with no extra steps.

Disabled or archived subtypes can still be used as a filter, so you can always find Visis that were created with them before they were turned off. Historical data is preserved.
