Bulk update Visis to the latest template revision

When you publish a new revision of a template, existing Visis that were created from the older revision become out of date. The bulk update tool can help you easily find and bring eligible, out-of-date Visis up to the latest template revision.

How does the bulk update work?

Bulk update works by replacing the existing Visis. When you trigger the bulk update:

  • Visibuild runs an automated background job that archives the old Visis and creates new Visis using the latest template revision

  • The process is designed to run in the background so you can continue other work

  • You’ll see the outcome reflected as newly created Visis (the old ones remain archived for audit history)

Because it’s a replacement (not a merge), the eligibility criteria is intentionally strict: it only allows bulk updating Visis that are “safe to replace” without risking loss of work or creating confusion on site.

A Visi will show as Available to update when it’s:

  • Out of date (created from an older template revision), and

  • Not started / untouched (no real work has begun)

Any activity can make a Visi count as having “started” and therefore no longer eligible (examples include checklist progress, requirement progress, nested Visis being started/completed, attachments, metadata changes). The exception is where only the Title or Description have been changed.

Using the bulk update tool

In the Project template library, next to your company name you’ll see how many templates (if any) have Visis which can be updated. Each template will show an “Updates available” badge:

Clicking into a template takes you to the template Builder tab. The new template Usage tab highlights when there are updates available. On the Usage tab, the revision breakdown table shows which Visis (on which template version) can be updated:

Clicking on “Update X Visis” brings up a modal showing all the Visis that can and cannot be updated, and where they are on the location tree, letting you review and confirm:

When you have reviewed the list, click “Update X Visis” to initiate the process. A progress indicator will show, and a success message once completed; typically this only takes a few seconds.

The freshly created Visis (using the latest template revision) are now ready to go! You can see them easily by clicking “See Visis” at the top right of the Usage tab. This will take you to the Visi table, filtered down to just that template. The new Visis will appear at the top of the list which is sorted by creation date.
