Non-conformances in Visibuild

What are Non-conformances?

Non-conformances (NCRs) are used to formally document and resolve serious deviations from project standards, specifications, or contracts.

Unlike quick issues or defects, Non-conformances typically require investigation, corrective action, and explicit close-out — and often need to be reported to leadership, auditors, or clients.

Visibuild’s Non-conformance feature helps teams manage this entire process in one place.

Step 1: Create a Non-conformance template

Non-conformances can be created from templates to ensure consistency across projects. If you're a project admin that has access to templates, here's how to create one:

  1. Go to the Company Templates or Project Templates area

  2. Create a new template with type "Non-conformance"

  3. Add tasks to represent investigation steps, corrective actions, or preventative measures

  4. Add requirements to tasks to capture structured responses (e.g. root cause, actions taken, approvals)

💡 Your company may only need one Non-conformance template which can be reused across all projects.


Step 2: Create a Non-conformance on a project

Once a template exists, Non-conformances can be raised on projects.

  1. Open your project

  2. Create a new Non-conformance from the template

  3. Assign responsible parties and due dates to tasks

  4. Complete tasks and requirements as the issue is investigated and resolved

ℹ️ If at least one Non-conformance template exists for a project, ad-hoc creation of Non-conformances (i.e. without a template selected) is disabled to maintain consistency.


Step 3: View and manage Non-conformances in the Register

Each project includes a Non-conformance Register, designed to give a complete, auditable view of all NCRs.

The register allows you to:

  • See all Non-conformances in one place

  • Review task requirement responses across non-conformances

  • Track progress from raise → investigation → resolution → close-out

To view the register tracker view for a non-conformance template:

  1. Navigate to the Trackers page

  2. Select your Non-conformance template

  3. Navigate to the Register tab at the top-right


Step 4: Export Non-conformance data to Excel

You can export the Non-conformance Register for reporting or sharing outside Visibuild.

  1. Open the Non-conformance Register

  2. Click Export

  3. An Excel (.xlsx) file will be generated and emailed to you

The export:

  • Includes the register data in a structured table

  • Separates template revisions into individual sheets

  • Is suitable for reporting, auditing, or BI tools

Non-conformance data is also available via the Visibuild Core API for customers who want to integrate with external systems or reporting tools.
