Capturing Defects with the Mobile App

Written by Daniel Ferguson

Before defecting, optimise your project settings for better defect management. Use automation features, Location QR Codes, and customisable defect rounds for efficiency.

Navigating to a Location

Access a location by expanding the location tree or scanning a Location QR Code on site. (Make sure this is set up beforehand- link to guide).

Step 1. Create a Defect

Once you're in a location page on the mobile app, follow the steps below:

  1. Hit the blue + button

  2. Select Defect

  3. Select the appropriate defect round or skip if its not related to a defect round
(this should have been setup prior to defecting - link to guide)

  4. Type in the Title of the defect, or select a "suggested" Title

  5. Add one, or multiple photos, and mark them up if necessary

  6. Under the Assignee field, select the Company / Member who is responsible for:

    • reassigning it to the respective trade or

    • rectifying the defect.

  7. You can also toggle on or off Require Evidence to Close. If this is turned on, the Assignee will be required to add a photo before they can mark the works as complete.

  8. Take a photo and/or create a markup, then hit Create and add more if you need to create more defects in the same flow, or click Create and Finish if you're done.

Step 2. Optional Details

  • At the bottom of the defect creation page, Optional Details can be expanded to show Defect Round, Due Date and Reviewers fields, which can all be edited.

Automations (this step should have been setup prior to defecting - link to guide)

  • Defect approval workflows (Reviewers) can be automated based on defect round

  • Due dates to defects can be automated to preset close out duration (days) to ensure timely resolution.

Step 3. Add another defect

Once you're happy with the details, you can hit Create and add more to create another defect and stay in the same workflow.

  • This will take you through the same steps, where new defects created will remember the last location, assignee, defect round and photo requirement toggle.

Step 4. Edit, Delete, Finalise or Save as Draft

Review & Edit / Delete Defects before Creation

  • To review the list of defects you've just created, hit Create and Finish.

  • You're now in the Defect Review page, where you can click into any defect to change metadata details or delete the defect.

  • Hit Save Changes to navigate back to the Defect Review page.

Finish Creation of Defects or Add Another Defect or Save as Draft

From the Defect Review page,

  • Once you're done defecting in that location, hit Finish to create defects to the location.

  • or You can Create More to repeat steps

Defects saved as draft

  • If you have saved defects as draft, Drafts will appear in your homepage and allow you to navigate back to the Defect Review page.

Finish Creation of Defects

  • Hit Finish once you're happy to create them in to the project

[Alternative] Create defects within an inspection
