How to use the multi-template tracker

Get a customisable bird’s-eye view of multiple templates across every location and trade, helping you monitor QA progression across your project.

The multi-template tracker simplifies your inspection process by bringing all Visis created from templates into a single, easy-to-manage view. With customisable filters and views, you can track specific templates and trades across chosen locations — giving you greater visibility, control, and confidence in project delivery.

⚠️ The tracker only works for Visis created from a template. This applies to all Visi types — inspections, defects, NCRs, and others. If Visis were created ad hoc (without using a template), they will not appear in the tracker and cannot be added retroactively.

For defects in particular, the decision to use a defect template needs to be made at the start of a project. If your team has been logging defects without a template, those existing defects cannot be tracked here — only new defects created from a template going forward will appear.


The Template Tracker landing page

When you open the Template Tracker from the left-hand navigation bar, you'll land on the overview page. This is split into two sections:

  • Multi-template tracker — a single entry point to view all templates across the project in one grid. Click View tracker to open it.

  • Single template trackers — a list of every template on the project, showing how many Visis have been Created and Closed for each, along with an Overall Visi completion progress bar. Click View tracker next to any template to jump directly into that template's single tracker view.

From this landing page you can also:

  • Filter the template list by Company using the dropdown at the top

  • Export to Excel — download the full template list with Created, Closed, and completion data

  • Star any template to add it to your favourites for quick access


Accessing the multi-template tracker

From the landing page, click View tracker under the Multi-template tracker section. You can also access it from the left-hand navigation bar directly.

You'll be taken to the grid view showing all project templates as columns, with your project's location hierarchy as rows. Each cell shows the number of Visis created vs total for that template at that location.

From here you can customise your view by choosing which templates to track, setting the order they appear in, and selecting the locations you want to monitor.


Switching and saving views

At the top-left of the tracker grid, click Switch view to access your saved views. The dropdown shows:

  • All templates — the default view showing every template across the whole project

  • Created by others — views that other members of your team have saved and shared

  • Your own saved views — any custom views you've built and saved yourself

You can search across all saved views using the search bar at the top of the dropdown. Each saved view stores your chosen templates, locations, filters, and display options — so switching between views instantly reconfigures the tracker to that setup.

To save a new view, configure the tracker how you want it and click Save view in the top-right corner. To update an existing view after making changes, click Update view. You can create and save as many views as you need.


Template selection

To select the templates you want to track, click on Templates within the available filters and choose the ones you'd like to include.

You can also filter templates further using the additional filter bar options: Due date, System, Stage, and Discipline — useful for narrowing down to a specific trade or phase of works.

Once you've made your selection, you can reorder the templates in your tracker to match the sequence of works on site. To do this, go to Display options > View order by and select Custom order, then drag templates into your preferred sequence.


Display options

Click Display options in the top-right of the tracker to open the settings panel. Four toggles are available:

  • Hide empty locations — locations that have no templates assigned to them will be hidden from the grid, keeping the view clean

  • Hide empty templates — templates with no data at all (no Visis created) will be hidden as columns, so you only see active templates

  • Show progress as percentages — toggles the cell counts between showing raw numbers (e.g. 3/11) and percentage completion. Useful when presenting progress in reviews or reports

  • Include child Visis — when toggled on, the cell count includes both the parent Visi and any child Visis linked to it. Toggle off to count parent Visis only


Locations

To track specific locations, open Locations within the available filters and pick the areas you want to include in your view. The tracker displays your full project location hierarchy — expand any location row to drill down into sub-levels.


Reading the grid

Each cell in the grid shows a closed/created count for that template at that location — for example, 4/11 means 4 Visis closed out of 11 created. The Overall progress column on the left gives a combined count across all templates for that location row.

Cells are colour coded to give you an at-a-glance status. A red number in the top-right corner of a cell indicates Visis that require attention — either because they are due soon or overdue. Hatched/greyed-out cells indicate that template has no Visis at that location.


Understanding your tracker view

Clicking on any cell will open the sidebar, where you can view all Visis created for that template at that location. From here you can also open the Visi in full view by selecting the title.


Exporting your data

You can export the current tracker view to Excel at any time by clicking Export Excel in the top-right corner. The export reflects your current filter and view settings — so if you've filtered to specific templates and locations, only those will appear in the export.


Legend

Refer to the legend above to understand the colour codes and icons used within the tracker.

The red-highlighted number in the cells shows how many Visis in that location require attention, either because they are due soon or overdue.
