Step 1 — Create a sample approval template at company level

Building the template at company level means every project inherits the same minimum requirements for sample approvals. Access your company template library and build out the form with all required fields, reviewer tasks, and attachment requirements.


Step 2 — Import and configure at project level

Import the template to your project library and update it to reflect the project-specific stakeholders responsible for sign-off. Key things to confirm when editing the project template:

  • Add relevant stakeholders as Viewers so they have visibility across all sample records

  • Include all potential reviewers as tasks in the template

  • Non-relevant approvers can be marked as N/A on individual records


Step 3 — Track sample approvals

Use the Single Template Tracker to get a live view of the approval status of every sample raised on the project, so nothing slips through without sign-off.


Step 4 — Use QR codes on physical samples

Print a QR code for each sample and attach it to the physical item. Because QR codes in Visibuild are static, scanning one at any point during the project lifecycle takes you directly to the approval record, showing who approved it and when.
