Starter Guide for Subcontractors

Everything a new subcontractor needs to get up and running in Visibuild, from logging in for the first time through to completing inspections and managing defects on site.

This guide walks you through everything you need to get up and running in Visibuild as a subcontractor, from logging in for the first time through to completing inspections and managing defects on site.


Step 1 — Get access to the project

Your head contractor will add you to the project in Visibuild and send you a welcome email with a link to set up your account. All you need is an email address. There's no limit to the number of users you can add from your company. IMPORTANT password must be a minimum of 15 characters

If you need additional team members added to the project, you can add them yourself once you have been given Project Admin access.


Step 2 — Get familiar with the platform

Visibuild works on both desktop and mobile. Most site-based work happens on the mobile app, while reporting and admin tasks are easier on the web app.


Step 3 — Set up your templates

Inspection templates define what data your team captures on site. Your head contractor may have already set up templates for your scope of works. If not, you can import templates from your company library or build them from scratch.


Step 4 — Complete inspections on site

Inspections are completed on the mobile app. Each inspection record corresponds to a location in the project's location tree. Work through the checklist, mark items pass or fail, add photos, and submit when complete.

If you're working in an area with low or no connectivity, Visibuild's offline mode lets you capture everything and sync when you're back in range.


Step 5 — Raise and manage defects

When defects are raised against your scope of works, you'll be assigned them in Visibuild with a due date for rectification. Once the work is done, submit for re-inspection and the reviewer will close it out.


Step 6 — Use QR codes on site

QR codes can be printed and placed at each location on site. Scanning one on the mobile app takes you directly to the right record, so your team can navigate to the right inspection without searching.
