Starter Guide for Head Contractors

Everything a new head contractor needs to get up and running in Visibuild, from company setup through to running your first project.

This guide walks you through everything you need to get up and running in Visibuild as a head contractor, from setting up your company through to running your first live project.


Step 1 — Set up your company

Your company setup in Visibuild determines the standards that apply across every project your team runs. Getting this right at the start means every project inherits the same quality baseline automatically.

Build your company template library

Your company template library is where you create and manage the inspection templates your project teams will use. Templates set the minimum standards for data capture across all of your projects, including hold points, witness points, reviewers, and milestone links.

Manage your team members

Add your team to Visibuild and assign the right roles. There's no limit to the number of users you can add. Each person needs only an email address and will set up their own account on first login.


Step 2 — Set up your project

Once your company is configured, it's time to get your project live. Your Visibuild Project Coordinator will work with you through this process.

Request a new project

Projects are created by the Visibuild team. Submit a request and your Project Coordinator will reach out to get the setup started.

Build your location tree

The location tree is the backbone of your project in Visibuild. It's typically structured from your General Arrangement plans and reflects the levels, zones, and areas of your build. It can be updated at any point during the project lifecycle.

Add companies and users to your project

All of your project stakeholders, from subcontractors through to consultants, get free access to Visibuild to complete their QA. Adding them to the project gives you a complete picture of quality progress across every trade.

Import and publish templates

Import your company templates to the project and publish them so your team can start creating inspections. You can also build project-specific templates from scratch or generate them from existing files using VisiAI.

Set up milestones

Link your quality programme to your project programme using milestones. This lets your team track QA progress against your programme dates in real time, straight from the dashboard.

Set up sample approvals

If your project requires material sample approvals before works commence, Visibuild has a dedicated sample approval workflow to manage this.


Step 3 — Run your project

With your project set up, your team can start capturing inspections and managing defects on site.

Once your project is live and your team is set up, your Visibuild Project Coordinator is your first point of contact for any questions. You can also reach the support team at any time via the chat icon in the bottom right of the platform.
